Analytics definitions: time-to-fill vs time-to-hire

Time-to-fill counts days from a job opening to its first hire. Time-to-hire counts days from an applicant applying to being marked Hired. The funnel and source reports use stage changes.

Analytics are only useful if everyone agrees what the numbers mean. These are the definitions Apex uses, so your reports can be compared month to month and with published benchmarks.

Time-to-fill

Days between the job's published date and the date its first application was moved to Hired. It measures the whole process, including how long it took to attract applicants. Reported per job and as a median across jobs in the period.

Time-to-hire

Days between an applicant's applied date and the date they were moved to Hired. It measures how fast your team moves once someone is in the pipeline. Reported as a median across hires in the period; the average is shown too because outliers matter.

Funnel

For each stage, the number of applications that reached that stage at any point, and the conversion rate from the previous stage. An application that jumps from Applied to Interview via self-scheduling is counted in Screening as well, so conversion rates stay meaningful.

Source effectiveness

Applications, interviews and hires grouped by source. Source is set automatically from the feed or link the applicant used (Indeed, ZipRecruiter, careers page, a shared link with a source tag) and can be edited on the record. Cost per hire appears if you enter board spend for the period.

Response time

Median minutes between an application arriving and the first outbound message from your team. Teams that keep this under an hour see markedly higher reply and show-up rates.
